The Natural Health Practitioners of Canada Association (NHPCA) takes your privacy and the security of your personal information seriously. Personal information we collect will vary depending on the purpose for which we are collecting it.
The NHPCA requires personal information in order to manage membership application and renewal with the NHPCA, to provide products and services to members and non-members, and to advocate on members' behalf as holistic health practitioners.

The NHPCA collects personal information from new and existing members for the purposes of approving and managing membership with the NHPCA. This includes name and contact information, educational history and certification, and information related to their character and reputation (e.g. police information check). We may also collect financial information for the purposes of processing the payment of your registration fees (e.g. credit card number).
While we typically collect members' personal information directly, there are certain circumstances where we may collect their information from a third-party. For example, we may contact educational institutions directly to confirm educational and credentialing information.
In the event that a complaint is received about a member, the NHPCA will process the complaint as set out in the NHPCA Bylaws. This may include collection of personal information from the complainant, witnesses, as well as the member being investigated.
The NHPCA collects personal information during event registration, purchase of products or services directly from the NHPCA, and volunteer activities with the NHPCA. This can include name and contact information, as well as financial information for the purpose of processing payment for the event, product, or service.
The NHPCA takes your privacy and security seriously. To prevent unauthorized access, maintain data accuracy, and ensure the appropriate use of information, we have put in place physical, electronic, and administrative procedures to safeguard and secure the information you provide to us.
This includes ensuring that any third-party contractors providing services to or on behalf of the NHPCA are bound by appropriate obligations of confidentiality.
We generally retain membership information for as long as we require it to meet business, administrative, or legal purposes.
When you enter sensitive information on the NHPCA Website (e.g. credit card data), we encrypt that information using TLS 1.2, which provides access to advanced cipher suites and AEAD block cipher modes. Pages with forms that collect sensitive information on our Web site will utilize this technology and will have URLs that start with HTTPS instead of HTTP.
We follow generally accepted industry standards to protect the personal information submitted to us, both during transmission and once we receive it. However, no method of transmission over the Internet and no method of electronic storage is 100% secure. Therefore, while we strive to use commercially acceptable means to protect your personal information, we cannot guarantee its absolute security.
Email is not recognized as a secure medium of communication. For this reason, we request that you do not send private or sensitive information to us by email.
The NHPCA uses personal information to manage membership in the NHPCA. In addition to application and renewal, this may include assessment of credentials with respect to different modalities, competency equivalents, and continued competency. We may also use a member's personal information to facilitate their involvement on a committee or the Board of Directors.
Personal information collected during the complaint resolution process will be used for the purpose of investigating and processing the complaint.
The NHPCA also uses personal information provided by event registrants, advertisers, and website customers to provide and administer the services and products requested and organize and administer event registrations. We may use your personal information for administrative, reporting, and analytical purposes, including to communicate with you about services, products, and event registration.
We communicate with our members regularly. As such, we use their personal information to communicate with them about their membership as well as NHPCA services, conferences, and volunteer opportunities within the NHPCA.
The NHPCA may enter into other business arrangements with third-parties who will be given access to personal information (including, but not limited to, your email address) for the purpose of providing you information regarding products and services that we think will be of interest to you, but we will not share or sell your information unless you consent to such information sharing.
External consultants or contractors may have access to personal information, if access is necessary for the performance of their duties. For example, we use third-parties to perform credit card processing and email services. When you purchase a product or service from us, our credit card processing vendor will facilitate the transaction. An email service provider will provide our email services. We will share billing and email information, as necessary, with the third-party to provide that service.
These consultants and contractors are prohibited from using your personally identifiable information for any other purpose, including their own marketing purposes.
We may also disclose your personal information if authorized or required to do so by law or court order, or if we believe that such action is necessary to (a) conform to the law or comply with legal process served on us or any affiliated parties; (b) protect and defend our rights and property, our website, the users of our website and/or our affiliated parties; or (c) act under circumstances to protect the safety of users of our website, ourselves or third parties.

Members who have completed the complaint resolution process and have a finding made against them may have their name, findings, and other complaints information made public.
We strive to ensure that our collection, use, and disclosure practices with respect to your personal information are transparent. You may request access to your personally identifiable information that we collect and maintain by contacting us. In response to a request, we may provide access to your personal information, subject to applicable legal restrictions.

The aggregate information of our members is invaluable to the NHPCA in its strategic planning as an organization and in its advocacy services on behalf of our members.
